Due to our growth, we are looking for an amazing and motivated Executive Assistant to support our President. The role is a fantastic opportunity to gain an intimate insight into the core operations of one of Australia’s fastest-growing startups. 

A bit about the role

As an Executive Assistant, you’ll directly support the President on all major projects and priorities. You will have full access to the President and the information and decision-making process. 

You will manage front-line communications (emails with clients, customers, projects), support Investor Relations (including accountability for data rooms for fundraises), moderate meetings and coordinate initiatives to ensure effectiveness, and drive them to a successful outcome.

Here’s how you’ll contribute

  • Coordinating and facilitating all meetings of the President to ensure that they are prepared for, stay on track, useful, effective and avoid tangents
  • Creating the next actions and project plans for each meeting the President is in and ensuring that they are done
  • Proactively managing and maintaining all inboxes identifying items that can be delegated and coordinating effectively
  • Organising company board meetings, offsites, various events including internal and external logistics
  • Assisting the President with board meeting prep, investor updates, and business development
  • Helping the President identify items that can be delegated, where time allocation should be changed, etc. and coordinating / managing delegated items
  • Tracking initiatives created by the President in Trello, summarising and communicating the state and effectively organising and following up on tasks
  • Managing follow-ups (communications, action items, and execution) for external meetings, partnerships, and key relationships
  • Turning word documents into effective presentations
  • Manage investor decks, fundraising events and quarterly investor updates
  • Review current processes and suggest improvements
  • A bit about you

  • 3 years+ experience as an Executive Assistant to C-Suite
  • A methodical organiser with excellent time management
  • A can-do attitude and a stellar reputation for getting stuff done no matter what it takes
  • Empathetic but persistent following up with people without causing resentment
  • Tech-savvy with the ability to quickly learn and use new systems
  • Ambitious and can lead communications with HNWI and key stakeholders
  • You are highly driven and can work effectively with little direction
  • High level of written and verbal communication skills 
  • Some extra skills that would be awesome

  • Previous Executive Assistant experience working in a high growth tech company or start-up
  • Investor relations experience, including organising investor data rooms, running investor updates, etc
  • Experience using trello / getting things done / a systematic way of managing their own workload
