About your role
 
Reporting to Office of the CEO (including the Co-founders and Chief of Staff), you will be responsible for delivering high levels of organisational assistance, promoting greater levels of efficiency and productivity, and driving improvements in performance  within the executive team.
 
We are looking for a motivated and organised professional who balances efficiency with effective prioritisation and communication skills. You will work in a high-growth and fast-paced environment to support our executive team’s day-to-day operations as well as that of our wider team. In addition, you will be confident in establishing strong working relationships across both internal and external stakeholders, ensuring our teams are supported to do the best work of their lives with us.
 
In this role, you will become an important anchor to our organisational structure, our professionalism, and add to the cultural fabric of our company. As an all-rounder in the team, we are looking for someone who can handle the high-level tasks and also willing to be across the finer details of administrative duties as needed by the team.

What you'll do:

  • Ensure smooth, effective and seamless management of all admin related tasks;
  • Comprehensive support for our Co-Founders, including (but not limited to) calendar management, liaising with key internal and external stakeholders, travel bookings, expense management and meeting preparation;
  • Assist the Executive team with administrative tasks, including diary management, event organising and travel bookings;
  • Help with drafting presentations for high level meetings, whilst maintaining strict levels of confidentiality;
  • General administration for the wider team including assisting with company-wide events, participating in and improving operational processes;
  • Own the look and feel of the office including meeting rooms and office supplies; and
  • Develop and maintain a thorough knowledge and understanding of the business.
  • What will help you succeed:

  • Solid experience in an Executive Assistant role, reporting into C-Suite or executive level stakeholders (or similar);
  • High attention to detail with strong organisational skills and ability to work effectively with competing deadlines and priorities;
  • Self-starter with strong problem solving skills and ability to navigate well through ambiguity;
  • High level of competence in the operation of MS Suite of applications including Word, Excel, Power Point and Outlook with a high standard of presentation and accuracy;
  • Excellent interpersonal and stakeholder engagement skills; and
  • Comfortable and effective working in an ever changing, fast paced environment.
