How you’ll make an impact

You will provide exceptional administrative support to the Waddle team. This role will work closely with the Waddle Leadership team to ensure that they and Waddle more broadly are well supported through your enabling of smooth management of daily operations.

You’ll play a key role in ensuring the Waddle Sydney office is operating in a beautiful and functional way. You will deliver consistently high levels of engagement with other Waddle team members. 

What you’ll do

  • Provide operational and administrative support across the Waddle organisation.
  • Provide organisational event support including the setup and coordination of project meetings, workshops and events and offsites.
  • Develop and maintain effective working relationships with Xero’s Business Services teams (Finance, HR, IT etc).
  • Be a champion within Waddle for team culture, ways of working and communication via email, Slack and fortnightly All Hands calls.
  • Provide a helpful and welcoming experience for everyone visiting the Waddle Sydney office.
  • Maintaining appropriate and effective building services and implementing a common approach to providing these services while achieving a quality work environment in a cost effective manner.
  • Coordinate with Xero’s Workplace Experience team to ensure that a consistent workplace experience is delivered at Waddle.
  • Liaise with external contractors, such as cleaners, to ensure quality results with minimal disruption.
  • Handle incoming and outgoing mail, organise couriers, and distribute mail to staff
  • Help to coordinate office relocations and team reconfigurations.
  • Manage the day to day running of the physical security systems and providing regular reporting and analysis of access control systems.
  • Purchase order creation, invoice processing, and cost control initiatives.
  • Ad Hoc projects to support the wider Waddle team, like running commission payments and preparing monthly reports
  • Assist with fit out and building work projects as required.
  • Assist with establishing and delivering initiatives and small projects.
  • Monitor and provide reporting on health and safety and environmental management requirements within the office. This includes, but is not limited to, First Aid, Fire Safety, Accident Reporting & Investigation, Civil Emergencies, and waste management. 
  • What you’ll bring with you

  • Previous experience working in support services within a fast paced environment.
  • Proven ability to work independently, multi-task and deal with competing priorities. 
  • Proactive, self starter with the ability to quickly adapt.
  • Excellent organisational and planning skills with the ability to effectively prioritise workload to ensure that multiple activities are completed in an efficient manner to a high standard.
  • Strong written and verbal communications skills.
  • Ability to build and maintain strong relationships.
  • Strong spreadsheeting and presentation building skills
  • Self starter, eager to get on and problem solve to get the job done independently
