As a Workplace Experience Coordinator, you’ll be making sure the Canberra office is presented and operating in the beautiful and functional way that Xero has become known for. You will deliver consistently high levels of customer service in your interactions with Xeros and visitors while delivering the services required by the business to work effectively. Whilst primarily focused on the Canberra office, you will support and assist Xeros at all of our Australian and SE Asian offices. You will also assist the Head of Workplace Experience, Workplace Experience Manager & the Project and Workflow Coordinator (based remotely) by providing information, process, structure, project and admin support to aid in the efficient delivery of the services we provide.

A typical day in this role will be extremely varied. You could be carrying out administrative tasks such as travel and accommodation booking, ordering and restocking of supplies (some lifting required) or notifying and liaising with contractors on building maintenance issues. Or you could be working on a global project impacting the daily lives of every Xero.

To be successful in this role you will need to work well autonomously and have a fantastic customer service mindset. You will have an inquisitive nature which compels you to always question how we could do things better. You will revel in finding new ways of doing things that makes our jobs easier and improves the service we offer to the people of Xero.

What you’ll do

  • Provide a helpful and welcoming experience for Xeros and all visitors to Xero
  • Maintaining appropriate and effective building services and implement a common approach to providing these services while achieving a quality work environment in a cost effective manner
  • Liaise with Xeros and external contractors, such as cleaners, to ensure quality results with minimal disruption
  • Handle incoming and outgoing mail, organise couriers, and distribute mail to staff
  • Help to coordinate office relocations and team reconfigurations
  • Manage the day to day running of the physical security systems and providing regular reporting and analysis of access control system
  • Purchase order creation, invoice processing, and cost control initiatives
  • Assist with fit out and building work projects as required
  • Provide assistance to the Project and Workflow Coordinator in developing and implementing programs to improve management practices within the team
  • Maintain Workplace Experience content on internal communication tools
  • Monitor and provide reporting on health and safety and environmental management requirements within the office, such as First Aid, Fire Safety, Accident Reporting & Investigation, Civil Emergencies, and waste management

  • Minimum of three years of working in a similar role including the running of workplace/facilities services within an office environment
  • Workflow and project coordination to ensure high standards are maintained
  • Experience in coordinating office reconfigurations, minor alterations,  building works and health & safety within an office environment
