Fulfill the role of Receptionist at 360biolabs headquarters. Provide administration support and ensure the efficient operation of 360biolabs’ office areas. Assist the records management team with the organisation of paper and electronic records according to SOPs and industry quality standards.

Office & Administration
Provide administrative support for the Executive and Management Teams
Welcome visitors and contractors to the company on arrival, direct them to 360biolabs hosts or contacts and support their visit as required
Manage the main office phone line, direct enquiries and requests professionally and promptly
Receive office deliveries and be the point of contact for office enquiries (coordination with Burnet Institute reception and Nikos concierge)
Order and maintain stationery, office and kitchen supplies
Coordinate catering and arrangements for onsite team events, meetings etc as requested
General housekeeping of shared office, kitchen and meeting areas
Assist managers and P&C with onboarding activities (e.g. staff calendar coordination and room bookings) for new team members
Coordinate travel and accommodation bookings consistent with the Travel Policy
Assist with the coordination of Occupational Health & Safety (OHS) and facility maintenance and administration
Prepare, format and manage professional correspondence, reports, presentations, and documentation using Microsoft Word, Excel, and PowerPoint, Outlook, Teams and other desktop applications
Scan a variety of paper records
Organise and file paper and electronic records
Maintain, review and file high-quality records to levels consistent with relevant SOPs and industry expectations
Data entry and data Quality Checks when required
Attend all required safety training and ensure compliance to relevant internal processes and statutory requirements
Maintain high levels of communication with colleagues and productive relationships with service providers and other partners
Adhere to ISO/IEC 17025, GCLP Principles, 360biolabs’ Quality Management System, and other requirements as per NATA Accreditation and regulatory guidelines relevant to support of the Records Management team.
Attend meetings and training associated with the role and the work of 360biolabs
Key Selection Criteria
Tertiary education in a relevant discipline or equivalent experience (Preferable)
Experience/ Knowledge/ Attributes
Excellent organisational and time-management skills (Essential)
Ability to work effectively as part of a diverse team (Essential)
Excellent communication skills and willingness to learn (Essential)
Experience with desktop computer applications and database entry (Essential)
Ability to demonstrate impartiality and maintain confidentiality (Essential)
Experience working in a quality-controlled environment preferably an accredited facility (Preferable)
