About the role
We’re looking for a highly organised, proactive, and people-focused Executive Assistant to join our team in Melbourne. In this role, you’ll support members of our Executive Leadership Team (ELT) with their day-to-day schedules, communications, and projects—while also taking the lead on office events and culture initiatives across our Melbourne and Sydney offices.
This is a role for someone who loves variety: one day you might be managing executive calendars across time zones, the next planning a team offsite, or ensuring our office is a welcoming and functional space for everyone/
What you’ll do
Executive Support
- Manage complex calendars, meetings, and logistics across multiple time zones for ELT members.
Prioritise schedules, coordinate internal/external meetings, and prepare confidential documents, reports, and decks.
Organise meeting administration: agendas, room bookings, logistics, catering, and minutes. - Partner with ELT members on ad hoc projects and priorities.
🔹 Office & Facilities Management (Melbourne)
- Keep our Melbourne office running smoothly—clean, welcoming, and fully equipped.
- Liaise with building management on repairs, maintenance, and compliance.
Manage seating, floorplans, access passes, visitor logistics, couriers, and supplies. - Act as Fire Warden / First Aid Officer (or coordinate others as required).
- Support onboarding/offboarding with the People team.
🔹 Event Planning & Culture Initiatives
- Lead the calendar of office events for Melbourne & Sydney—bringing cultural moments, celebrations, and team connections to life.
- Collaborate with the People team to align events with engagement, wellbeing, and company values.
- Manage end-to-end event delivery—from concept and comms through to logistics and feedback.
What makes you successful
- Experience supporting C-level executives, ideally in a fast-paced, global organisation.
- Exceptional organisational and time management skills—you thrive at juggling multiple priorities.
- Technology: Comfortable with Macs, G-suite, Slack, or similar.
- Highly detail-oriented, discreet, and professional, with excellent written and verbal communication skills.
- Hands-on event planning and project management experience.
A friendly, team-oriented approach with a “no task too small” attitude.
