About the role:
As our Receptionist and Office Administrator, you’ll be the welcoming face and voice of hipages! From greeting guests to keeping the office running like a well-oiled machine, you’ll ensure everything from our kitchen to our meeting rooms is in the best shape. This role is perfect for someone who is dynamic, and ready to jump in wherever needed, no job is too big or too small!
How you will add value:
Reception Duties:
- Be the friendly face that welcomes all visitors, making sure they feel right at home while notifying the right team members.
- Keep our reception, kitchen, and meeting rooms looking fresh, organised, and spotless.
- Answer calls and direct them with a smile.
- Ensure our office facilities are used professionally and communicate processes to the team.
- Handle and sort company mail
Office Administration:
- Keep both our office running at the peak level by ensuring the kitchen is always stocked with snacks, drinks, and breakfast that fuel our team.
- Make sure the office is safe, clean, and looking sharp with regular spot checks.
- Stay on top of the office supplies, maintaining stock levels and ordering when needed, all while being budget-savvy.
- Take care of lunch orders for up to 200 people occasionally (because a well-fed team is a happy team!).
- Organise thoughtful gifts for team members celebrating big life moments (e.g weddings, babies) and service awards.
- Keep things running smoothly with data entry, document management, and chasing RSVPs for team events.
- Support our Talent Development team with basic admin, running reports, and being an organisational superstar.
- Help the People & Culture team set up for internal events, company town halls, training sessions, and more!
About you:
- You’ve got experience in reception and office admin and love keeping things organised.
- You’re tech-savvy with Google Suite and can pick up new systems with ease.
- You have experience managing budgets and keeping expenses in check.
