About the Role & Team
We are seeking a highly motivated and enthusiastic individual for the role of Project Coordinator to assist our Senior Project Manager with coordination, administration, and related activities in order to successfully implement the Compass Platform for all state schools across WA.
This role is perfect for a detail-oriented professional with proven expertise in project administration and support. You'll be at the heart of organising, recording, and reporting on key governance meetings, ensuring nothing slips through the cracks. You’ll create and maintain essential project documentation—like schedules, status reports, meeting minutes, and action register, playing a crucial role in keeping the project running smoothly and teams focused on their goals.
Specifically you will:
- Prepare and maintain detailed project plans to schedule key project milestones and activities.
- Track the project progress on the team’s actions register and provide regular status updates to the wider team and key stakeholders, both internal and external.
- Work closely with the Product team to plan the scope of delivery for key software changes.
- Manage and adjust for any changes in project scope.
- Coordinate project management accountability in all aspects of the project, including continuous monitoring and reporting on all project deliverables, ensuring project objectives are met, project risks are identified and mitigated through the team's risk register.
- Attend key project meetings & perform note taking responsibilities, following up actions from those meetings.
- Ad-hoc tasks as requested by your manager.
Requirements
About You
You will bring:
- 3+ years proven experience in project coordination or a similar role.
- Previous experience with MS Project schedules.
- Exceptional organisational skills - you will have the ability to juggle multiple meetings, project documents, deadlines, and logistics for keeping the project aligned and on track.
- Excellent communication skills - you have exceptional written and verbal communication skills as well as the ability to listen effectively to stakeholder concerns or requests.
- A sharp eye: you have a keen eye for detail, enabling you to produce accurate documentation, spot inconsistencies, and ensure that action items are thoroughly tracked and addressed.
- A proactive approach to problem-solving - you anticipate challenges and proactively address them, coordinating logistics and resolving issues to keep the project running smoothly and on schedule.
- A determined and goal-oriented mindset - you are focused on results, with a strong drive to meet project goals and the determination to navigate any obstacles that may arise.
- A high degree of self-motivation - you are able to work independently, staying productive and proactive without constant oversight, particularly in a fast-paced environment.
- A strong sense of initiative - you own the tasks you are responsible for, identify areas for improvement, and step up to handle unexpected situations, contributing to project success with forward-thinking actions.
